VAT Invoice in the UK - The Most Important Rules
The correct document depends on the classification of the transaction. A seller's UK VAT number alone does not necessarily mean that UK tax must be charged on every invoice.
Registered taxpayer only

Most often, the invoice itself isn't missing. The problem is an incorrect tax point, an incorrect rate, an unconfirmed VAT number, or tax being charged despite reverse charge. When do you need to issue a UK VAT invoice?
A registered seller generally issues a VAT invoice when he supplies goods or services taxed at the standard or reduced rate to another VAT-registered entity.
Determine the place of taxation
First, check where the goods or services will be delivered. A VAT number does not replace this analysis.
Determine the tax point
Determine the date of delivery or service completion and events that may affect the moment of settlement.
List within 30 days
Typically, the document must be issued within 30 days of the delivery date.
Retail sales
It's not always necessary to issue a VAT invoice to an unregistered person. However, retailers should provide the appropriate document to eligible customers who request it. Exceptions and details are described in official VAT documentation and invoicing rules.
Mandatory elements of a full VAT invoice
Each element should be reconcilable with the contract, order, delivery, and VAT records. Official requirements can also be found in the information required on invoices.
- consecutive and unique document number;
- date of delivery or performance of the service;
- date of issue, if different;
- name, address and VAT number of the seller;
- name and address of the buyer;
- a description identifying the product or service;
- quantity of goods or scope of service;
- unit price;
- value excluding VAT for an item or group;
- VAT rate applied;
- net value of all sales;
- cash discount, if offered;
- total VAT amount expressed in GBP;
- gross amount to be paid.

The phrase "services as per contract" may be too general if, without additional documentation, it's unclear what was actually sold. The invoice name should correspond to the commercial documents and tax analysis.
Full, simplified and modified invoices - comparison
The £250 limit applies to the gross value of a single supply. A simplified invoice cannot cover exempt sales.

Don't choose a simplified document just because your cash register system has a short format. First, verify the value of the individual shipment, the type of sale, and the content of the printout.

Trade values may be expressed in euros or other currencies, but the total UK VAT must be reported in pounds sterling.

The most common discrepancy
The sales system converts VAT at the exchange rate on the day of issuance, and accounting uses the exchange rate on the day of delivery. If the dates differ, the amounts on the invoice and in the records no longer match.
Reverse charge invoice
If the buyer is settling the tax, the document should not look like a standard invoice with UK VAT charged. It must clearly indicate the mechanism used.
Cross-border reverse charge

Don't add annotations automatically
First, confirm the place of taxation, the status of the parties, and the scope of the specific mechanism. The mere fact that the counterparty is foreign is not sufficient to apply the reverse charge.
Who issues the invoice for sales through the marketplace?
If the platform is responsible for VAT on sales, it should issue a document regarding the taxable delivery to the customer. The foreign seller can simultaneously record a separate delivery recognized by the platform.
Do not issue two VAT invoices for the same sale
First, determine who is considered a supplier for VAT purposes. The platform report, customer document, and seller records should all reflect the same model. The division of responsibilities is described in the article "VAT marketplace in the UK."
Electronic invoice and document storage
An electronic invoice must contain the same information as a paper invoice. The system should ensure the authenticity of its origin, the integrity of its content, its legibility, and the ability to quickly reproduce the document.
Authenticity
You must be able to prove who the document comes from and who issued it.
Integrity
Content cannot be changed without leaving a controlled trace.
Readability
The document should be openable and understandable throughout the storage period.
Basically 6 years
Copies of issued and received invoices and VAT records are typically retained for at least six years. The archive should link the invoice to the order, payment, delivery, and record. Check the official rules for electronic invoicing.
Invoice correction and correction note
A change in price, quantity, VAT rate or return of goods may require the issuance of a correction document related to the original invoice.
Don't overwrite a file without leaving a trace
Maintain an audit trail between the original invoice, credit note, refund, and records. Correcting the document itself does not always complete the settlement correction. See the official rules for correcting VAT errors.

Errors on an invoice can make it difficult for the customer to deduct tax and cause discrepancies with the seller's records.
Invoice before registration
The company shows a VAT number or a number that it does not formally have yet.
Incorrect tax date
The delivery date is confused with the issue or payment date.

The seller or customer details do not match the status on the date of the transaction.
No VAT in GBP
The document shows values only in euros or other currencies.
Too general a description
The content does not allow the identification of the goods sold or the service provided.
Simplification beyond the limit
A simplified invoice is used for deliveries exceeding GBP 250 gross.
VAT with reverse charge
The seller charges tax even though, according to the mechanism, it is settled by the buyer.
No correction sequence
The correction note does not indicate the original document or is not entered into the records.
Treat the invoice template as the result of transaction analysis
The template doesn't determine whether VAT should be charged. The order should be reversed: tax analysis first, then the document.
